Legal Secretary – Litigation / Intellectual Property (Chicago)

JOB TITLE: Legal Secretary – Litigation / Intellectual Property
STATUS: Non-Exempt, Full-Time
REPORTS TO: Human Resources

Job Summary:
Provide support to attorneys in the litigation/intellectual property practice groups, specifically pertaining to pharmaceutical patent litigation.


  • Communicate with clients, judicial administrative staff, and vendors
  • Update docket information in attorney calendars and firm docket program
  • Prepare, proofread, and format legal and transactional documents
  • Transmit legal correspondence to clients, witnesses, and court officials by electronic filing, mail, fax or messenger
  • Format and file U.S. and PCT patent applications and attend to new electronic filings
  • Assist with trial preparation
  • Enter time and process expense reports
  • Process conflict checks using firm software
  • Organize and maintain case and correspondence files
  • Schedule and make appointments, manage calendars and correspondence for multiple attorneys
  • Arrange travel plans
  • Attend training classes to keep skills current
  • Assist other attorneys as needed during absences or vacations
  • Perform other duties as assigned


  • 5+ years of experience required, 10+ years of experience preferred
  • Litigation and intellectual property experience required, pharma and patent prosecution experience preferred
  • Federal court experience required
  • Strong knowledge of Microsoft Office Suite
  • Knowledge of court filing systems (Federal and State)
  • Experience with Relativity, Intapp, Best Authority, and Legal MacPac a plus
  • Excellent verbal and written communication skills
  • Must be able to prioritize work and manage competing priorities
  • Client service mindset and friendly demeanor
  • Ability to work independently and demonstrate sound judgment
  • Ability to resolve problems
