Legal Assistant - Litigation/Insurance Defense (Richmond)

Job Title: Legal Assistant – Litigation / Insurance Defense
Status: Non-Exempt
Reports To: Income Partner
Location: Richmond, VA

Job Summary

Provide support to attorneys and paralegal in litigation and insurance defense practice.

Responsibilities

  • Open new matters
  • Enter deadlines for removal and/or responsive pleadings
  • Check pleadings folder, Pacer and file folder to close matters
  • Upload any missing documents to electronic file and then close matter in system
  • Maintain and revise spreadsheets of all pending matters
  • Communicate with clients, judicial administrative staff, outside counsel and vendors
  • Prepare legal documents and update transactional documents with ability to redline complex documents
  • Transcribe pleadings and correspondence from dictation
  • Enter attorney time into Aderant
  • Proofread and format documents as necessary
  • Prepare subpoenas duces tecum and monitor status
  • Review production for key documents, privilege materials, and responsiveness
  • Mail room/office services including copying, scanning, assembling notebooks and binding
  • Assists with Reception coverage as needed
  • Assists with mass-mailings as needed
  • Prepares FedEx and First Class mail labels and packaging when needed
  • Transmit legal correspondence to clients, witnesses and court officials by electronic filing, mail, fax or messenger
  • Bill time to file as appropriate
  • Organize and maintain case and correspondence files
  • Monitor deadlines and maintain calendars
  • Check status of cases through Case Information System
  • Function as notary public
  • Perform other duties as may be assigned

Qualifications

  • College degree preferred
  • Strong proficiency with Microsoft Suite
  • Technical expertise and experience maintaining office equipment 
  • Previous customer service experience in a similar position or setting 
  • Prior law firm experience is preferred
  • Strong detail orientation with high level of organizational skills
  • Collaboration skills and strong customer service orientation
  • Strong oral and written communication skills, including the ability to interact with firm personnel at all levels
  • Flexible and team-oriented attitude
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  The employee must have the ability to routinely lift and or move up to 50 lbs
