Legal Assistant - Real Estate (Chicago)

Job Title: Legal Assistant - Real Estate/Floater
Status: Non-exempt
Reports To: Human Resources
Location: Chicago

Job Summary

Provide support to attorneys in the Real Estate practice group in a job share 2 days/week and supports other practice areas as a floater the remainder of the week.

Responsibilities

  • Communicate with clients, judicial administrative staff and vendors
  • Schedule and make appointments for multiple attorneys and other legal staff
  • Set up and invite parties to office meetings, including ordering of refreshments
  • Prepare legal documents and update transactional documents with ability to redline complex documents
  • Edit and format legal documents
  • Update corporate minute books
  • Draft and prepare closing books for clients
  • Proofread and format documents as necessary
  • Transmit legal correspondence to clients, witnesses and court officials by electronic filing, mail, fax or messenger
  • Prepare documents for recording
  • Enter time and prepare and submit expense reports
  • Organize and maintain case and correspondence files
  • Prepare or update existing PowerPoint presentations
  • Process conflict checks using firm software
  • Arrange travel plans
  • Assist other attorneys during absences or vacations when we are shorthanded
  • Transcribe tapes and recordings of meetings and/or conference calls as necessary
  • Document continuing legal education classes for attorneys
  • Attend training classes to keep skills current
  • Perform other duties as may be assigned

Qualifications

  • Minimum of 5 years of experience
  • Strong knowledge of Microsoft Office Suite: Word, Excel and PowerPoint
  • Strong knowledge of comparing documents using WorkShare
  • Experience with Legal MacPac a plus
  • Excellent verbal and written communication skills
  • Ability to interact and communicate and demonstrate sound judgment
  • Must be able to prioritize work and manage competing priorities
  • Client service mindset and friendly demeanor 
  • Ability to work independently and in a fast-paced environment
  • Ability to resolve problems
