Legal Assistant (Tampa)

Job Title: Legal Assistant
Status: Non-Exempt
Reports To: Attorneys as assigned
Location: Tampa

Job Summary

Provide support to attorneys in the litigation practice group.

Responsibilities

  • Communicate with clients, judicial administrative staff and vendors
  • Schedule and make appointments for multiple attorneys and other legal staff
  • Prepare legal documents and update transactional documents with ability to redline complex documents
  • Proofread and format documents as necessary
  • Prepare witness subpoenas and arrange service of process
  • Assist with trial and hearing preparation
  • Process conflict search and new business intake requests
  • Update pleading indexes both hard copy and electronic
  • Prepare discovery responses from attorney notes
  • Transmit legal correspondence to clients, witnesses and court officials by electronic filing, mail, fax or messenger
  • Coordinate and plan attorney travel
  • Process attorney expense reports and vendor invoices for payment through Chrome River
  • Maintain attorneys’ professional organization dues, deadlines, and CLE
  • Organize and maintain case and correspondence files
  • Monitor deadlines and maintain calendars
  • Check status of cases through Case Information System
  • Organize medical notebooks
  • Attend training classes to keep skills current
  • Perform other duties as may be assigned
  • Assist with covering reception desk for lunch breaks and afternoons

Qualifications

  • Minimum of 5 years of experience
  • Strong knowledge of Microsoft Office Suite: Word, Excel and PowerPoint; Adobe PDF
  • Experience with Best Authority, Legal MacPac, and FileSite a plus
  • Experience with court filing systems and requirements
  • Experience in Complex Litigation and background insurance/reinsurance
  • Excellent verbal and written communication skills
  • Ability to interact, communicate, and demonstrate sound judgment
  • Must be able to prioritize work and manage competing priorities
  • Client service mindset and friendly demeanor
  • Ability to work independently as well as part of a team
  • Ability to resolve problems
  • Works well under pressure while maintaining a professional, positive, and flexible attitude
