Receptionist (Chicago)

Job Summary

We are looking for a Receptionist to join our team and become the face of our Firm. The Receptionist is frequently the first person a client, vendor, or visitor meets whether by telephone or in person. As a result, it is imperative that the Receptionist create the most favorable impression of the Firm at all times. Flexible schedule required to accommodate overtime and variable schedule shared across all receptionists to staff the reception desk from 7:45 am to 6:00 pm, Monday through Friday.

Responsibilities

  • Answer incoming telephone calls and forward to appropriate person or department
  • Retrieve messages from general voice mail box and forward to appropriate person
  • Maintain familiarity with names, faces, areas of practice, location of offices and departments, and Firm policies, procedures and structure
  • Answer questions about the Firm and provide callers with general information
  • Welcome on-site visitors and clients and issue passes when required. Make clients and visitors comfortable by hanging up coats, and offering refreshments
  • Maintain accurate employee database information
  • Maintain daily visitors list. Add visitors to building security list throughout the day
  • Manage conference room reservations
  • Distribution and processing of building parking vouchers
  • Order meals and snacks for meetings and events, including evening meals when necessary
  • Assist with set up of meetings that require food and beverage services
  • Ensure tidiness of reception area
  • Respond to E-911 calls
  • Page employee and visitors when necessary
  • Escort guests to conference rooms when needed
  • Provide employment candidates with applications as needed
  • Act as a liaison with the building for reserving building conference rooms
  • Maintain inventory of temporary card keys and distribute when necessary
  • Prepare monthly Birthday & Anniversary cards for mailing
  • Prepare e-mail for monthly Birthday and Anniversary celebration
  • Schedule appointments for annual flu shots and biometric screenings
  • Respond to ticket requests for client entertainment
  • Process catering and facilities invoices
  • Coordinate holiday decorations
  • Perform other service-oriented duties as needed

Qualifications

  • Ideal candidate will have held a similar position in a professional services organization
  • Must be service oriented, well mannered, pleasant, professional, discreet, well-spoken and possess a positive and helpful attitude
  • Basic typing skills, familiar with Microsoft Office and Outlook, ability to navigate internet
